Refund & Cancellation Policy
This policy explains how cancellations and refunds are handled for scope-based legal services provided by ViroHub.
1) Definitions
Services means review and drafting support and related deliverables as described in an agreed scope.
Scope means the deliverables, assumptions, and timeline confirmed prior to starting work.
Digital deliverables means redlines, summaries, drafts, policy text, and similar files delivered electronically.
2) Scope-based nature
ViroHub primarily works on scope-based engagements. This means the exact deliverables and review depth are agreed before work begins. This structure helps both sides understand what is included and what would require an additional scope.
If you need a change, we typically propose either (a) an adjustment within scope if minor, or (b) a revised scope if the request is materially different.
3) Cancellations before work begins
If you cancel after we confirm scope but before any work has started, we may refund the paid amount minus any non-recoverable costs (for example, payment processing fees), where applicable.
To request a cancellation, contact us using the details in Section 9.
4) Cancellations after work begins
If you cancel after work has started, any refund depends on the work completed and the engagement terms applicable to your scope. We may provide a partial refund reflecting unperformed portions, where reasonable and permitted by law.
When possible, we may offer to deliver the work completed up to the cancellation date (e.g., partial redlines or a summary) instead of a refund.
5) Digital services and delivered work
Once digital deliverables are provided (for example, redlines or drafts), the service has been partially or fully performed. Refunds in such cases may be limited, depending on the scope and the portion already delivered.
If you believe a deliverable does not match the agreed scope, contact us promptly so we can review the scope confirmation and the delivered materials.
6) Exclusions
Refunds are generally not provided for:
- Work performed according to the agreed scope and delivered as digital files;
- Delays caused by missing information or delayed responses from the client;
- Requests that materially change scope after work begins (unless a revised scope is agreed).
Nothing in this section limits any mandatory rights that cannot be excluded under applicable law.
7) How to request a refund or cancellation
To request a cancellation or discuss a refund, send:
- Your name and contact email;
- The engagement reference (if you have one);
- A brief description of the request and relevant timeline;
- Any notes about delivered materials you want us to review against scope.
We may request additional information to verify identity and engagement details.
8) Disputes
If you disagree with a decision about refunds, contact us with your reasons and any supporting information. We aim to address issues in a practical and documented way, referencing the scope confirmation and deliverables.
This policy does not limit rights or remedies that may be available under applicable law in Japan.
